What the Brothers Freight app collects, why it collects it, and who else ever sees it.

This policy covers the Brothers Freight iOS app and this website, both operated by Brother's Freight Transport LLC ("we", "us"), a motor carrier in Frankfort, New York.

The app is a private tool for our own operation. There is no sign-up screen and no public account: our office issues accounts to our dispatchers, our drivers and our owner operators. If you are not one of them, the app has nothing in it for you.

The short version

  • The app does not track your location. It never asks for location permission, because it never uses it.
  • There is no analytics, no advertising and no tracking software of any kind in the app. Nothing reports your behaviour to us or to anyone else.
  • We do not sell your information and we do not share it for advertising. There is nobody to sell it to who has any business with it.
  • What we hold is what a freight company needs to dispatch a truck: who you are, what load you are on, and the paperwork for it.

What the app collects

Your account

Your phone number — this is what identifies your account — along with your name, your role (dispatcher, driver or owner operator), your password or the one-time code used to sign you in, and the time you last signed in. Accounts are created by our office, not by you.

Your device, for notifications

When you allow notifications, Apple gives us a device token for your phone and we store it against your account. It is how a leave-by alarm or a dispatch alert reaches you. It identifies the phone, not you personally, and it is only ever used to send you notifications.

Documents and photos you add

The app takes in rate confirmations, bills of lading, and delivery paperwork. You put them in yourself — by photographing them with the camera, choosing images you have already taken, picking a file, or sharing a PDF into the app from another app. We never reach into your photo library on our own; you choose the specific pictures and iOS hands us only those.

Those documents are uploaded to our own server. Documents you add inside the app are also written to your own phone before the upload runs, so the paperwork is not lost if the upload fails in a dead spot. A document shared into the app from another app uploads straight through and is not kept on the phone.

Voice, if you use it

You can talk to the app instead of typing. When you hold the voice button, the microphone records you and your speech is turned into text — on your phone itself wherever your device supports it. The resulting text is then sent to our server so the request can be carried out. We do not keep recordings of your voice.

What the app does not collect

Your location

The app has no location permission and asks for none. It cannot see where your phone is.

The fleet map inside the app shows our trucks, not you. Those positions come from the telematics hardware installed in the company's vehicles (our provider is Samsara) and are reported by the truck, not by anyone's phone. If you are driving one of our trucks, the truck reports its position as a condition of the job — that is a vehicle in our fleet, and it is tracked whoever is in the seat.

The app also contains no third-party software development kits — no analytics, no crash reporting service, no advertising network, no social login. We checked this rather than assumed it.

Driver applications

If you apply to drive for us through the application form on this website, that form collects what federal law requires a motor carrier to collect before it lets someone drive: your name, address, date of birth, Social Security number, commercial licence details, employment history, and accident and conviction history. You may also photograph your licence, Social Security card and medical card to save typing — a photographed licence is read automatically to fill the fields in for you.

This information is gathered by the website form, not by the app. Our dispatchers can then view submitted applications inside the app. We use it to decide whether to hire you and to meet our record-keeping duties under the Federal Motor Carrier Safety Regulations. We do not use it for anything else.

Who else sees any of this

We use a small number of outside services to make the app work. They act on our instructions and only get what that job needs:

Beyond that, we disclose information only when the law requires it — for example to the FMCSA or the Department of Transportation in an audit, or to insurers and auditors in the ordinary course of running a carrier.

Load tracking links

We can create a link that lets a broker or customer follow one load. That page shows the stops on that load, the truck's last position and how old that reading is, an estimated arrival, and the signed bill of lading once it exists. It deliberately does not show the rate, the driver's name or phone number, or anything about any other load or truck. Those links can be switched off at any time and expire on their own.

Keeping it, and getting rid of it

Load records, paperwork and driver qualification files are kept for as long as the Federal Motor Carrier Safety Regulations and our tax and insurance obligations require, which for some driver records is years after someone stops driving for us. That is not our preference; it is the rule we operate under.

The copies on your own phone are a different thing, and they are not permanent. You can swipe any of them away yourself, and they all go when you delete the app. The app also tidies up after itself: once a document has been uploaded and the server will hand it back to you on request, only the newest thirty of those are kept on the phone. Nothing else is ever removed automatically — not an upload that has not landed yet, not a document the app made itself, and not anything you have pinned. Note that a driver's account cannot re-fetch an uploaded rate confirmation from the server, so for a driver these on-phone copies are never tidied away automatically: they are the only copy, and the app treats them that way.

Accounts are administered by our office. To see what we hold about you, correct it, or ask us to delete what we are not legally required to keep, call (315) 601-1786 or email [email protected] and we will deal with it.

Security

The app talks to our server over an encrypted connection, and everything behind the sign-in wall requires your account. What you can see depends on your role — drivers do not see rates, and they do not see the whole fleet.

Children

This is a commercial tool for people who hold a commercial driver's licence or work in our office. It is not directed at children and we do not knowingly collect anything from anyone under 18.

Changes

If we change what the app collects, we change this page, and the date at the top moves with it.
